Your learning workspace
Study a programme in its workspace: lessons, outcomes, sessions, attendance, announcements, finishing, and changes to your access.
Module 1 of 5 · 1 lesson
Finding your way
The workspace each programme opens on its academy's website, and how to move around it.
Get around your learning workspace
Each programme you study opens in its own workspace on the academy's website. Home shows what is next, the menu lists the programme's pages, the switcher moves between your programmes at that academy, and Search this programme finds any page, lesson or assignment.
As a learner, you study each programme in its own workspace, on the academy's website and in the academy's colours. The workspace holds everything about that one place: its lessons, assignments, sessions, attendance, fees and announcements. My learning in the Alethris Hub lists every programme you study, at every academy, and opens each workspace.
Open a workspace
There are four ways in:
- In the Alethris Hub, open My learning and choose Continue or Open on a programme under In progress.
- On the academy's website, choose My learning at the top of the page, which opens the most recent of your places there.
- Open the academy's address ending in
/learn. If you study one programme there, it opens directly. If you study several, the page asks which to open: "Carry on with". - If you installed the academy's app, open it. It starts at the same place.
If no place of yours at the academy is ready yet, the page says "No programme to open yet" and "A programme opens here once your place is active."
The menu
The menu beside the page lists the programme's pages. Some appear only when the programme needs them:
- Home, where you start each visit
- Modules, the programme's lessons in order
- Schedule & sessions and My attendance, only when you study with a cohort
- Assignments, only when the programme has assignments, with a count of the work that needs you
- Fees & payments, only when the place has a fee or is paid for by someone else
- Announcements, with a count of the ones you have not read
- Study Guide, only when the academy offers its study assistant to learners
- Help, which opens Alethris Help
Above the menu, My learning returns you to the Hub. On a phone, the menu opens from the menu button at the top of the page.
The Home page
Home opens with a greeting and a sentence that sums up where you stand, such as "Every required lesson is done." or "Nothing is due right now.", and when your next session is. Below it:
- Coming up lists the assignments that need you and your next session. All assignments opens the full list.
- Next lesson names the lesson to do next and its place in the programme. Choose Start or Continue.
- The module you are in, with its lessons. All modules opens Modules.
Beside them, Required progress shows how many of the required lessons you have completed. It may be joined by Your attendance, your Cohort group and, where the academy offers it, the Study Guide's Plan my week.
Switch between programmes
If you study more than one programme at the same academy, the programme's title above the menu is a switcher. Choose it to see Switch enrolment, which lists each programme with its cohort and where you have got to, and choose another to open it. When you study only one, it says "This is your only enrolment at this academy." Programmes at other academies are on My learning in the Hub.
Search this programme
Search this programme, at the top of every page, finds your way around. Choose it, or press ⌘K on a Mac or Ctrl K elsewhere, and type. Results are grouped as Pages, Lessons, Assignments and Your other programmes, and My learning takes you back to the Hub. On a browser that can keep lessons, Pages also offers Saved on this device, the lessons you have kept for offline. A lesson or assignment that is not open yet is marked Locked and cannot be opened from the results.
Your account
Your account menu, under your name, offers My learning, Alethris Hub, Sign out and Appearance, which switches between light and dark. Your account is yours, not the academy's: "Leaving an academy never removes the credentials you earned there."
When the workspace does not open
If a programme does not open, the page usually says why instead of showing it: for example that your place is waiting for payment, or that your access is suspended.
- "This programme could not be loaded". "Nothing about your place has changed — it could not be read just now." Choose Try again. The same message appears once a programme's access period has ended, and then Try again does not open it.
- "This programme is not available". The address does not belong to a place of yours at this academy, or the place is still being set up after you paid or joined, or setting it up did not finish. Open the programme from My learning once it is listed under In progress.
Module 2 of 5 · 2 lessons
Lessons and outcomes
Working through a programme's lessons, and what it promises you will be able to do.
Work through your modules and lessons
Modules lists a programme's lessons in order. Lessons open in order: one stays shut until the required lessons before it are complete. Mark lesson complete records each one, and only required lessons count towards finishing.
A programme's lessons are grouped into modules, and you work through them in order. Modules, in the programme's workspace, lists every module and lesson with where you have got to. Each lesson you finish is recorded when you choose Mark lesson complete, and your progress counts only the lessons the academy has made required.
The lessons are those of the programme's edition (version) that your place was created on. They do not change part-way through because the academy publishes a new edition.
The Modules page
Modules shows each module as "Module 1 · title", with a bar showing how much of it you have completed and a line saying what is left, such as how many lessons remain and roughly how long they take, or when you finished it. Choose a module to open or fold its list of lessons. The module you are in opens by itself.
Each lesson shows its state under its title:
- "Completed" with the date you finished it
- "In progress", for a lesson you have opened but not completed
- its length in minutes, for a lesson not started
- "Finish the lesson above first", for a lesson not open yet
- "Opens" with a date, for a lesson waiting for your cohort to start
An optional lesson is marked Optional, and "never blocks progression". Beside the list, Required progress counts the required lessons you have completed: "Optional lessons never block progression." If every lesson in a programme is optional, the panel is headed Progress instead.
Study a lesson
- Choose a lesson on Modules, or Start or Continue under Next lesson on Home.
- Read the lesson. Opening it marks it as in progress.
- At the end, choose Mark complete and continue to record it and open the next lesson still to do, or Mark lesson complete when there is no further lesson to open.
Once completed, the lesson says "Completed on" with the date, and names the next lesson to open. After the last lesson, it says "That was the last lesson in this programme." with Back to Home. A completed lesson stays completed; it cannot be marked as not done.
Beside each lesson, the panel lists the other lessons in its module, with "You are here" against the one you are reading. Where the academy offers the Study Guide, the panel also offers questions to ask it about the lesson. Keep for offline saves the lesson to your device; the Install the app and learn offline guide explains it.
Required lessons
The academy marks each lesson as required or optional. Required lessons are the ones that count: the programme's completion rule asks for a share of them, and they set the order in which lessons open. Optional lessons are there to read whenever you like, and finishing them or not changes nothing about your progress.
Lessons not open yet
Lessons open in order. A lesson stays shut while any required lesson before it is unfinished, and its row is not a link. Opening its address shows "This lesson is not open yet", with the lesson to finish first: "Lessons open in order, and lesson comes first." Choose Go to that lesson.
On a cohort, the academy can also hold every lesson until the day the cohort starts. The lessons then show "Opens" with the date, Home says "Lessons open on date.", and opening a lesson shows "Lessons open on date" with "Until then, Modules shows what you will cover."
When it does not work
- "This could not be marked complete just now. Try again in a moment." Try again shortly.
- "Complete the earlier required lessons first". A required lesson before this one is not complete. Complete it, then return.
- "This lesson could not be loaded". "Nothing about your progress has changed — it could not be read just now." Choose Try again.
- "This lesson is not part of this programme". The link may belong to another programme. Every lesson in this one is listed under Modules.
- "This lesson cannot be opened just now". Something has changed since the page last loaded. Choose Try again, or Back to Modules.
- "No lessons published yet". The programme has no modules yet. They appear as soon as the academy publishes them.
If you complete a lesson without a connection, it shows "Sent when you are back online." It counts on your device at once, and is sent to the academy when you reconnect.
Your programme's outcomes ↗Your programme's outcomes
Programme outcomes, beside the Modules page, list what the programme promises you will be able to do and the competencies behind them. Each competency shows the level your assessed work has verified against the level expected, or Not yet evidenced.
A programme's outcomes are what it promises you will be able to do by the end. Behind them sit competencies, the skills the academy assesses, each with a level the programme expects you to reach. As your work is assessed and approved, the competencies it covers are verified, and your standing on each one appears beside the Modules page of your workspace.
Where to see your standing
Open Modules. Beside the list of modules, the Programme outcomes panel shows:
- each outcome, by its title
- how many competencies are evidenced so far, such as "2 of 5 competencies evidenced so far."
- each competency, with a meter and a line giving its standing
- "Competencies are verified through assessed work."
A competency shared by several outcomes is listed once, held to the highest level any of them expects. A programme with no outcomes shows no panel.
Read a competency's standing
Each competency's line reads one of two ways:
- "Verified level · expected level" means assessed work has verified you at the first level, and the programme expects the second.
- "Not yet evidenced · expected level" means no approved work has verified this competency yet.
The levels run in order: Introduced, Developing, Competent and Advanced. The meter fills to the level verified. A verified level can sit below the expected one, which means your work has shown the skill, but not yet to the standard the programme asks for.
Where several pieces of work verify the same competency, the highest level verified is the one shown.
How a competency is verified
A competency is verified only through assessed work. When an assessor approves your submission on an assignment whose rubric is scored by competency, they record the level your work showed for each competency the rubric covers. Your assessment then lists what it verified under "Verified by this assessment", and the Programme outcomes panel updates. Reading lessons and attending sessions do not verify competencies on their own.
Work that is returned for changes, or not approved, verifies nothing until a later attempt is approved. The Assignments and feedback guide explains assessments.
Outcomes before you join
The programme's page on the academy's website lists the same outcomes under "What you will be able to do": "Each outcome is assessed through the work you hand in, and the result is recorded on your learning record." The page notes that levels run "introduced, developing, competent and advanced, on" the academy's own competency framework.
Outcomes and your credential
A programme's credential (certificate) can be awarded on completion, or on assessed skills. A credential awarded on assessed skills is issued "when your assessed work is approved for every skill this programme promises", and lists each one and how it was judged. Competencies verified here can also appear on your Skills Passport. The Credentials and your Skills Passport guide explains both.
When something looks wrong
- A competency shows Not yet evidenced after your work was approved. The approved assignment may not cover that competency, or its assessment may have been corrected since. Ask the academy.
- A level looks too low. The level is the one the assessor recorded. To ask about it, use the assessment's feedback or contact the academy.
Module 3 of 5 · 2 lessons
Sessions and attendance
The live sessions of a cohort, and the register of who attended them.
Your schedule and sessions
Schedule and sessions lists your cohort's upcoming sessions, in the cohort's timezone, with Join online for sessions held online, and the recaps the academy wrote for past sessions. Reminders arrive 24 hours and one hour before each session. Self-paced programmes have no sessions.
If you study with a cohort, its live sessions are listed on Schedule & sessions in the programme's workspace. Each session shows its day, its time, where it happens and, for a session held online, the link to join it. You are reminded before every session, by email and in your Alethris inbox. A self-paced programme has no sessions, so the page is not in its menu.
The schedule
Open Schedule & sessions. The page, headed Schedule, lists the sessions still to come under Upcoming, grouped by month, with a line such as "Tuesdays at 6:00 pm · 8 of 12 still to come" when the sessions follow a steady pattern. Each session shows:
- its title, its time and where it happens: a place, "Online only", or a place "and online"
- the academy's description of it, where there is one
- Join online, for a session with an online meeting
All times are in the cohort's timezone, and the page says so: "Times are in timezone, the cohort's timezone, not your device's." Add to calendar downloads the upcoming sessions as a calendar file for your calendar app.
The next session
Beside the list, Next session gives the next session's day and time, where it is held, and who runs it, for example "Online, with" the facilitator's name. Join online opens the meeting. The same session appears on Home, under Coming up, and the sentence at the top of Home says when it is, such as "Your next session is tomorrow at 6:00 pm."
Join a session online
- At the time of the session, open Schedule & sessions, or the session's reminder.
- Choose Join online on the session, or under Next session.
The meeting opens in a new tab, on whichever service the academy uses for its meetings. Alethris does not record whether you joined: your attendance is marked by the academy.
Reminders
The Reminders panel lists when you are reminded about each session:
- 24 hours before, in your Alethris inbox and by email
- 1 hour before, in the same places
The reminder names the session and when it starts. If the academy changes a session's time or place, or cancels it, you are told in the same way.
Cancelled sessions
A cancelled session stays in the list, marked Cancelled, with the time it was set for: "It was set for" the time. There is nothing to join, and it does not count towards your attendance.
Session recaps
After a session, the academy may write a recap: a summary of what it covered, its recording and its files. Past sessions that have one are listed under Recaps, newest first, each with its date and what it holds, such as "Summary · Recording · 2 files". Choose a session to open its recap: a YouTube recording plays on the page, any other opens in a new tab, and each file downloads when you choose it.
When the academy posts a recap and tells the cohort, a Session recap notice reaches your Alethris inbox; if you did not attend, an email comes too. A session linked to a lesson also shows its recap on that lesson, with the session.
Past sessions
Sessions that have taken place leave Upcoming. They are listed, with your mark for each, on My attendance: choose Past sessions are on your attendance page, or See past sessions when no sessions are left to come.
When there is nothing to show
- "No sessions scheduled". "New sessions appear here as soon as the academy sets them." If the cohort has already held sessions, the page adds that "Past sessions and your marks are on your attendance page."
- "This programme is self-paced". "It has no live sessions. Work through the modules at your own speed."
- "The schedule could not be loaded". "Nothing is wrong with your programme — this could not be read just now." Choose Try again.
Your attendance
My attendance shows your mark for every session your cohort has held, and the share you attended. Present and late count as attended, absent counts against you, and excused sessions are left out. Some cohorts require a minimum share to finish the programme.
If you study with a cohort, the academy takes a register at each session, and My attendance, in the programme's workspace, shows your mark for every session held since you joined. At the top is the share of sessions you attended, and whether it meets the cohort's attendance requirement, if it has one. A self-paced programme has no sessions, so it has no attendance page.
Your attendance figure
Open My attendance. The page, headed Your attendance, opens with your attendance as a percentage, the number of sessions you attended out of those counted, and how many of each mark you have:
- Present counts as attended.
- Late also counts as attended.
- Absent counts as a session you missed.
- Excused is left out, so it neither helps nor harms your figure.
- Not marked appears when a session has been held but its register has no mark for you yet. In the list of sessions, such a session reads Not recorded.
"Present and late count as attended; excused sessions are left out." Your figure is the sessions you attended divided by the sessions counted, which are those marked present, late or absent.
The attendance requirement
A programme can require a minimum share of sessions attended before you can complete it. When your cohort has one, the page says "this cohort requires" followed by the percentage, draws the requirement on the bar, and shows a badge:
- Requirement met, when your figure reaches the requirement
- Below requirement, when it falls short
When there is no requirement, the page says "This cohort has no attendance requirement." While a held session is still waiting for its mark, neither badge shows, because your figure is not final.
The same requirement appears on the programme's page under "What counts as complete", as a share of the sessions attended.
Your sessions
Below the figure, every session your cohort has held is listed, newest first, with its date and your mark. Sessions still to come are on Schedule & sessions instead. A session appears here once it has been held and the register submitted.
If you joined after the cohort started, sessions held before you joined are not counted, and the page says so: "Sessions held before you joined on" the date "are not counted." Cancelled sessions are never counted.
Home repeats your figure under Your attendance, once at least one session has a mark.
When a mark looks wrong
"If a mark looks wrong, ask the academy — they can correct it." Marks are recorded by the academy's staff, not by you, and joining an online session does not mark you present on its own. Contact the academy, or your cohort group, with the session's title and date. A corrected mark can take a moment to show in your figure.
When there is nothing to show
- "No sessions held yet". "Your mark for each session appears here once it has been held and the register submitted." See the schedule shows when your cohort meets.
- "Attendance is not taken here". The programme is self-paced, "so there are no sessions to attend and nothing is recorded against you."
- "Your attendance could not be loaded". "Nothing is wrong with your programme — this could not be read just now." Choose Try again.

Staying in touch
What the academy tells you, and where your cohort talks between sessions.
Announcements and notifications from your academy
Announcements are one-way messages the academy posts to a group of learners, on their own page and by email when it chooses; you can stop an academy's announcement emails. Notifications are about you — results, fees, sessions and assignments — and the bell opens this academy's inbox.
An academy keeps you informed in two ways. Announcements are messages it posts to a group of learners at once, such as everyone in your cohort. You read them on Announcements in the programme's workspace, and the academy can send them by email as well. Notifications are about you in particular — a result, a fee to pay, a changed session or a new assignment — and the bell at the top of the workspace opens them.
Announcements
Open Announcements. The count beside it in the menu is the number you have not read. The page lists the academy's announcements to you, newest first, each with how long ago it was posted, its title and its message. Unread ones are marked with a dot, and opening the page marks them all as read.
An academy can address an announcement to everyone at the academy, to everyone on a programme, or to a single cohort. A programme's workspace shows the announcements to the whole academy and those sent to that programme or its cohort. If you study more than one programme at the academy, an announcement to one of them appears only in that programme's workspace.
"Announcements are one-way": "The academy posts here; there is nothing to reply to." To ask about one, contact the academy. If your cohort has a group chat, the page says it is the quickest place.
Announcements by email
When the academy chooses, an announcement also arrives by email from the academy "via Alethris": its title is the email's subject, and its message follows. Read the announcement in the email opens it in your workspace. The footer says why it reached you, such as "You are receiving this because academy sent it to the learners on programme."
Beside the announcements, the By email too card says: "Your academy can also send an announcement by email. You can stop its announcement emails, or turn them back on, from your membership; they stay here either way." Your membership opens your membership page in the Alethris Hub.
Stop announcement emails
Announcement emails are on for every member until they stop them. Stopping them affects one academy, and every announcement stays on your Announcements page. To stop them from an email:
- In the email's footer, choose Stop announcement emails from this academy.
- On the page that opens, Stop announcement emails?, choose Stop announcement emails. You do not need to sign in.
- The page confirms Announcement emails are off. Open your membership takes you to the switch if you change your mind.
Your email app's own unsubscribe button, where it shows one, stops them too. If the page says This link is no longer valid, "Sign in and turn the academy's announcement emails off from your membership instead." Go to My academies takes you there.
To stop or restart them from the Hub, open My academies, choose the academy's name, and in the Announcement emails card switch Email me this academy's announcements off or on. "Turned off, you still read every announcement in the app."
Notifications
The bell at the top of the workspace shows how many notifications from this academy you have not read. Choose it to open Notifications: "Everything here comes from this academy. Notifications from your other academies stay in the Hub."
The page shows how many are unread and how many arrived in the last seven days, and groups them under Today, Yesterday, This week and Earlier. Each notification shows what it is about, its message, and a button to the page it concerns, such as Fees, View payment, View result, Open assignment, View session or View credential. View payment, on a notice about a payment or a refund, opens that payment's page in the Alethris Hub. If you study more than one programme at the academy, Open assignment and View session open the workspace of the programme the notice is about, whichever one you are in. Announcements appear in this list too, with Read, which opens Announcements.
Read and clear notifications
- Choose a notification's button to open the page it is about. Opening it marks it as read.
- Choose Unread to see only those you have not read, or All for everything.
- Choose Mark all as read to clear the unread count for this academy. It does not touch your notifications from other academies.
- Choose Show older at the foot of the list to load earlier notifications.
New notifications also appear briefly on screen while you are in the workspace.
What reaches your email
"Important notices also reach your email." Offers, requests to pay, payment confirmations, refunds, session reminders and changes, new and changed assignments, results and credentials are sent by email as well as to your inbox, and cannot be turned off. Announcements reach your email only when the academy sends them that way, and only until you stop them.
Every academy in one place
The Notifications page in the Alethris Hub lists notifications from every academy you belong to.
When there is nothing to show
- "Nothing yet". "Results, fee reminders and changes to your sessions and assignments appear here."
- "Nothing unread". "Everything from this academy has been read." Choose Show everything.
- "No announcements yet". "When the academy posts one, it appears here."
- "Notifications could not be loaded" or "Announcements could not be loaded". Nothing was lost; the list could not be read just now. Choose Try again.
Your cohort group link
An academy can give each cohort a WhatsApp or Telegram group link. It appears on your workspace's Home under Cohort group, only to the cohort's learners and staff, and Open in WhatsApp, Open in Telegram or Open the group joins it.
An academy can run a group chat for each cohort, where learners and staff talk between sessions. When the academy adds the group's invitation link to your cohort, it appears in the programme's workspace under Cohort group, on the Home page. Choosing it opens the group on WhatsApp or Telegram, where you can join.
Find the link
- Open the programme's workspace and go to Home.
- Find Cohort group in the panel beside the page. It says "Questions between sessions go to the WhatsApp group for" your cohort, naming the platform and the cohort.
- Choose the link under it: Open in WhatsApp, Open in Telegram or Open the group.
The link opens in a new tab, or in the platform's app if your device opens it there. Joining happens on that platform, under its own rules: Alethris only shows you the link.
Which platforms
An academy can add only a WhatsApp or Telegram group link. The panel names the platform when the link's address shows it, and the link then reads Open in WhatsApp or Open in Telegram. A short WhatsApp link, one beginning https://wa.me/, does not show it, so the panel says "the group" and the link reads Open the group.
Who can see it
The academy sets one link for each cohort. It is shown to the cohort's enrolled learners and to the academy's staff, never publicly: it does not appear on the cohort's page on the academy's website. A self-paced programme has no cohort, so it has no group link.
If you study more than one programme at the academy, each cohort's workspace shows its own group.
When the academy points you to the group
Some pages of the workspace suggest the group when you need the academy's help. Announcements are one-way, so to ask about one you "contact your academy — the cohort group is the quickest place". The Refunds panel on the Fees page says the same about asking for a refund. These suggestions appear only when your cohort has a group link.
What belongs in the group, and what does not
The group is for conversation. The parts of your programme that count are kept in the workspace:
- Work you hand in goes through Assignments, where the academy's assessors see it.
- Your attendance is recorded by the academy on My attendance, not by joining the group.
- Notices from the academy to everyone arrive on Announcements.
A cohort group is not the same as the group the academy puts you in for group work. That group is shown on the assignment it is for; the Assignments and feedback guide explains it.
When there is no link
If Home shows no Cohort group panel, the academy has not added a group link to your cohort. Ask the academy whether it runs one. The link appears on Home as soon as the academy adds it.
If the link no longer works, tell the academy so it can update the link.
If your access to the programme is suspended or ends, the workspace, and the link with it, is no longer shown to you. Membership of the group itself is managed on its platform, not by Alethris.
Announcements and notifications from your academy ↗Module 5 of 5 · 2 lessons
When a place ends or changes
Finishing a programme, and what a suspended, ended, cancelled or released place means.
Finishing a programme
A programme is finished when you meet its completion rule — required lessons, required assignments and attendance, as set by the academy — and, on a cohort, once the academy has marked the cohort complete. It then moves to Completed on My learning, and any credential follows when the academy issues it.
A programme is finished when you have met everything its completion rule asks for. There is no button to press: Alethris checks your place against the rule and marks the programme complete when every requirement is met. On a cohort, the academy must also have marked the cohort complete. Your place then moves to Completed on My learning, and if the programme awards a credential (certificate), the academy issues it.
What counts as finished
Each programme states its rule on its page on the academy's website, under "What counts as complete". It can ask for up to three things:
- A share of the required lessons, such as 100% "of the required lessons". Optional lessons never count.
- A share of the required assignments, where the programme has them. Depending on the assignment, it counts once you hand it in, or once its assessment is approved.
- A share of the sessions attended, on a cohort with an attendance requirement.
On a cohort, the programme is finished only once the academy has marked the cohort complete, even if you met every requirement earlier. A self-paced programme is finished as soon as you meet the rule.
Follow your progress
The workspace shows each requirement where it belongs:
- Required progress, beside Home and Modules, counts the required lessons you have completed. Home says "Every required lesson is done." once they all are.
- Required work, beside Assignments, counts the required assignments complete, and says whether an assignment completes when you hand it in or when its assessment is approved.
- My attendance shows your figure against the cohort's requirement, with Requirement met or Below requirement.
"Every required lesson is done." is one requirement met, not the whole programme. Check the other two, and on a cohort, wait for the academy to complete the cohort.
When you finish
Once the programme is complete:
- On My learning in the Hub, it moves to Completed, with "Finished" and the date.
- Its workspace stays open, so you can return to the lessons and your work. Revisit on its row opens it, until a credential is issued and the row offers View credential instead.
- An access period no longer applies: a completed place does not expire.
Your credential
If the programme awards a credential, finishing makes you eligible for it, and the academy issues it. You are told by email and in your inbox: "Academy has issued your credential credential, and its certificate is ready." On My learning, the row then reads "credential issued" and offers View credential. The Credentials and your Skills Passport guide explains how to download and share it.
A programme without a credential says so on its page: "This programme does not issue a credential. What you complete stays on your learning record."
If a result changes after you finish
An academy can correct an assessment after the fact. If a correction means a requirement is no longer met, the programme returns to in progress, and a credential issued for it is withdrawn. Once you meet the requirement again, the programme is completed again.
Take a programme again
To study a programme again from the start, open its page on the academy's website. It offers Enrol again or Apply again: "You have taken this programme before. A new place starts a fresh record." Your finished place, and anything awarded for it, stays as it is.
When it does not work
- Every requirement looks met, but the programme is not complete. On a cohort, the academy may not have completed the cohort yet. Otherwise an assessment may still be waiting for approval, or a session for its mark. Ask the academy if it stays this way after the cohort's end date.
- The programme is complete but there is no credential. The academy issues credentials itself, so it may take a little while. If none arrives, ask the academy.
When your access changes
An academy can suspend your access for a while or end it, and a place can be cancelled or released before it begins. The workspace then shows a notice instead of the programme. Your progress and the work you handed in stay on your record.
An academy can suspend your access to a programme and restore it later, or end it. A place can also be cancelled or released before it ever begins. In each case the programme's workspace shows a notice instead of the programme, saying what happened, with Back to My learning. It shows the first time you open the programme with a connection after the change, even on a device that kept its pages from an earlier visit. You are told about suspensions, restorations and cancellations by email and in your inbox.
What each notice means
| Notice | What happened |
|---|---|
| Your access is suspended | The academy has paused your access. It can restore it. |
| Your access has ended | The academy cancelled the place, or ended it with a refund. |
| Your access period has ended | The programme's access period ran out. |
| This place was cancelled | The place was cancelled before it began. |
| This place was released | It was not accepted or paid for in time. |
None of these deletes your record. Lessons you completed, work you handed in and its assessments stay on your record, and credentials you earned stay with you.
Suspended access
"The academy has suspended your access to this programme. Your progress is kept and comes back exactly as you left it when access is restored. If this is unexpected, contact your academy."
You are told "Your access is paused": the academy "has paused your access to programme, so you cannot open it for now. Your place and everything you have done are kept." On My learning, the programme shows Paused: "Paused by the academy. Your record and progress are intact."
Access can also be suspended because your membership of the academy is suspended, which pauses every programme you study there, or because your cohort has been cancelled. A place suspended for either reason leaves My learning while the suspension lasts.
When access is restored, you are told "Your access is restored": "Everything is where you left it, progress included." Choose Continue learning.
Ended access
"The academy has ended your access to this programme. Your record of completed work remains on your account. If this is unexpected, contact your academy."
An academy ends access by cancelling your enrolment, or when it refunds your fee and ends the place with the refund. When it cancels, you are told "Your place on programme has ended": "Your progress and any work you handed in stay on your record. Contact the academy about anything you were expecting, a refund included." The programme leaves My learning.
Access ended with a refund
When the academy ended your place with a refund that has been paid back, the notice says so. Under "The academy has ended your access to this programme. Your record of completed work remains on your account." it reads "The academy refunded amount on date." and "Reason:" with the reason the academy gave. Its buttons are:
- View payment, which opens the payment in the Alethris Hub, with the refund on it.
- Refund receipt, which downloads the refund's receipt as a PDF. If it says "Your refund receipt is still being prepared. Try again in a moment.", choose it again shortly.
- Back to My learning.
See Getting a refund for where else a refund shows.
A place cancelled or released before it began
"This place was cancelled" means the place ended before it began, for example because you declined the offer: "there is nothing to open and nothing to pay." "This place was released" means an offer lapsed, or the fee was not paid by the date the place was held until: "This enrolment expired before payment, so the place was released." To join again, apply or enrol on an open cohort.
A cancelled cohort
If the academy cancels your cohort, you are told: "It will not run, and its sessions are cancelled with it. Contact the academy about what happens next." Your access to the cohort's programme is suspended, and any application you had for that cohort is closed without a decision.
Lessons kept on this device
When your access is suspended or ends, lessons you kept for offline on a device are removed from it once it learns of the change, the next time you open the programme there. If your access is restored, keep them for offline again.
When an academy closes
While an academy is closing, a bar across its workspace gives the date. Until then you can read and download your work, but not hand in work, pay or change anything. Take a copy of your data, in the bar, keeps a copy.
Once it has closed, a place there that was still waiting for payment shows Academy closed on My learning: "amount was never charged. This academy has closed, so there is nothing left to pay." Programmes you finished there stay under Completed, and the credentials you earned there stay valid.
What to do
- You did not expect the change. Contact the academy. Only the academy can restore or change your access.
- Your access period has ended. A programme with an access period closes on the date in its reminder and leaves My learning, and its workspace says Your access period has ended. See Self-paced programmes and when access ends.
- You want to study the programme again. When the programme is taking places, its page on the academy's website offers Enrol again or Apply again.
