For academies
Analytics
Read your academy's figures for admissions, learning, risk, money and usage over the last 7, 30 or 90 days, for the whole academy, one programme or one cohort.
Module 1 of 3 · 1 lesson
Who sees what
The six areas of the Analytics page, and the roles that read each one.
Analytics and who sees each area
The Analytics page has six areas: Overview, Admissions, Learning, Risk, Finance and Usage. Owners and administrators read all six; finance administrators read Finance and Usage; instructors, mentors and assessors read Learning, and instructors and mentors Risk, for their own cohorts.
The Analytics page gathers your academy's figures in six areas, each on its own tab: Overview, Admissions, Learning, Risk, Finance and Usage. Each area is read separately, and a tab appears only for the people whose roles read it, so two members of staff can open the same page and see different tabs.
Analytics is in the menu, under Business, for everyone whose roles read at least one area.
Who reads each area
| Area | Who reads it |
|---|---|
| Overview | Owners and administrators |
| Admissions | Owners and administrators |
| Learning | Owners and administrators; instructors, mentors and assessors for their cohorts |
| Risk | Owners and administrators; instructors and mentors for their cohorts |
| Finance | Owners, administrators and finance administrators |
| Usage | Owners, administrators and finance administrators |
Owners and administrators read every area for the whole academy, and can narrow any of them to one programme or one cohort.
Finance administrators read Finance and Usage for the whole academy.
Instructors, mentors and assessors read figures only for the cohorts they are currently on the staff of: instructors and mentors in Learning and Risk, assessors in Learning alone. Learners who study at their own pace belong to no cohort, so these roles do not see their figures, nor figures for a whole programme.
Learners never see the academy's analytics.
What each area covers
- Overview — the headline figures: active learners and enrolments, applications, completions, active cohorts, published programmes and high-priority risk, with activity over the window.
- Admissions — applications, decisions, offers and enrolments activated, from application to enrolment.
- Learning — attendance, content progress, how quickly work is reviewed, and completion, with programmes and cohorts side by side.
- Risk — open risk cases and flags, overdue follow-ups, and how quickly cases are resolved.
- Finance — money collected, your earnings after fees, refunds, and what has been settled to you.
- Usage — AI requests and credits, stored files, video and notifications.
Opening the page
The page opens on the first area you may read: Overview for owners and administrators. Choose another tab to change area; the window and filters stay as you set them. How the window and filters work is covered in How current the figures are.
When something is missing
- A tab is missing. Your roles do not read that area. An owner or administrator can change your roles on the Team page, under Academy settings.
- "Nothing here for your role." None of your roles reads any area of analytics.
- "The learning figures could not be read. Reload to try again." The message names the area that did not load. Reload the page.
- No Programme or Cohort filter. The filters offer only what your roles may read: instructors, mentors and assessors choose among their own cohorts, and a finance administrator reads the whole academy with the window alone.
Module 2 of 3 · 3 lessons
The figures in each area
What each area counts, and how to read its tiles and charts.
Overview and admissions figures
Overview gives seven headline figures, with applications and completions compared against the previous window, and a chart of activity per day. Admissions follows applicants from application to an activated enrolment, with acceptance, offer and activation rates.
The Overview and Admissions areas of Analytics answer two questions: how the academy stands as a whole, and how applicants are turning into learners. Owners and administrators read both. Open Analytics in the menu, under Business; it opens on Overview.
The Overview tiles
Overview opens with seven figures:
- Active learners — people learning at the academy now.
- Active enrolments — places that are active now. A learner on two programmes counts twice here and once under Active learners.
- Applications — applications submitted in the window.
- Completions — enrolments completed in the window.
- Active cohorts — cohorts running now.
- Published programmes — programmes published now.
- High or critical risk — open risk cases at High or Critical priority now.
Two of these, Applications and Completions, count what happened inside the window. Under each is the change against the window of the same length just before, such as "▲ 12 · 25.0%" or "▼ 3", coloured to show whether it went the good way, or "unchanged". The other five count what stands now, so they do not change when you change the window, and read "no previous window".
Activity over the window
Under the tiles, Activity over the window charts three things per day: Applications, Enrolments activated and Completions. A busy week of applications followed by a run of activations shows a cohort filling; completions bunch at the end of a cohort.
The Admissions tiles
Admissions follows applicants from the form to a place:
- Applications — submitted in the window, with how many were accepted, rejected and waitlisted.
- Acceptance rate — accepted applications as a share of those decided, accepted or rejected, with a note such as "18 of 24 decided".
- Offers taken up — offers accepted, as a share of the offers that were accepted, declined or expired in the window. Its note, such as "9 of 12 issued", calls those offers issued.
- Enrolments activated — places that became active, as a share of the enrolments created, with a note such as "15 of 17 created". A place awaiting payment is created but not yet activated.
A rate with nothing to count reads "—" with the note "nothing to count yet".
The Admissions charts
- From application to enrolment — a funnel for the window: Applications, Accepted, Offers issued, Offers accepted, Enrolments activated. The largest drop shows where applicants are lost.
- Decisions over time — accepted and rejected applications per day.
- Admissions by programme — applications, acceptances and activations for up to ten programmes side by side. It appears when Programme is set to All and the academy has at least two programmes, and leaves out programmes with nothing in the window, saying how many.
- Offers and activations — offers issued, offers accepted and enrolments activated per day.
Reading them together
- Many applications, few acceptances. Decisions are waiting: the Applications page holds the queue.
- Accepted, but offers not taken up. Applicants are declining their offers or letting them expire.
- Offers accepted, few activations. Places are waiting on payment. The Learners page, filtered to Awaiting payment, lists them.
When the figures look wrong
- Every figure is zero or "—". Check the window and the Programme and Cohort filters, and the notice at the top of the page: figures that are still being counted are flagged there, never shown as zero without warning.
- A recent day looks low. The line under the title says which day the figures run through. See How current the figures are.
Learning and risk figures
Learning shows attendance, content progress, how quickly work is reviewed and the completion rate, with programmes and cohorts side by side and each cohort's retention week by week. Risk shows open cases and flags, overdue follow-ups, and how long cases stay open.
The Learning and Risk areas of Analytics show how learners are doing and how well your staff are keeping up with them. Owners and administrators read both for the whole academy. Instructors and mentors read both, and assessors read Learning, for the cohorts they are on the staff of.
The Learning tiles
- Attendance — the share of attendance marks in the window that were attended rather than absent, with the counts: "112 attended · 9 absent · 4 excused". Excused marks do not count against the rate.
- Content progress — how far learners are through their programme's content, on average, now. The note adds their average progress through assignments, the share of their required assignments handed in or approved, and how many enrolments are active. Each learner counts from activation and moves with every hand-in and decision; a programme with no required assignments is left out.
- Review turnaround — how long submissions waited for their decision, for decisions made in the window. Waits are counted in bands, so the figure always reads 60 min, 4 hr, 24 hr, 3.0 days or 7.0 days: the band within which half the decisions came. The note gives the band for nine in ten decisions and how many submissions are waiting now: "median · p90 3.0 days · 6 waiting". A wait of more than a week also reads 7.0 days.
- Completion rate — completed enrolments as a share of all enrolments that were ever activated, now, with how many have completed and how many competencies have verified evidence.
The Learning charts
- Attendance — attended, absent and excused marks per day.
- Work in and work reviewed — submissions and review decisions per day. A gap that keeps widening means work is waiting longer for review.
- Enrolments and completions — enrolments activated and completions per day.
- Programmes side by side — attendance, content progress and completion for up to ten programmes. It appears when Programme is set to All and there are at least two programmes.
- Cohorts side by side — the same three measures for up to ten active cohorts, when at least two are running.
- Still active, week by week — how many learners each of up to ten recent cohorts still had active in each week, counted from each cohort's own first week. Cohorts that started months apart line up, so a cohort losing learners earlier than the others stands out. A learner leaves their cohort's line in the week they complete, their place is cancelled or their access expires, and returns if a completion is taken back. This chart does not follow the window.
The Risk tiles
- Open cases — risk cases open now, and how many of those are high or critical.
- Active flags — risk flags open now, and how many interventions are past their next action date: "3 interventions overdue".
- Open for — the average age of an open case.
- Time to resolve — the average time it took to close the cases that closed in the window.
The Risk charts
- Cases opened and resolved — per day across the window. More opened than resolved, week after week, means cases are building up.
- Open cases by rule — open cases counted by the rule behind their flags, such as inactivity or repeated absence. Here the access setup rule is named "provisioning failed".
- By priority — open cases by priority, from low to critical.
- By category — open cases by kind, such as engagement, attendance or onboarding.
The three breakdowns count what is open now; they do not change with the window. Risk figures say how many learners are flagged, never who: the learners themselves are on the Risk & interventions page.
Figures for your own cohorts
For an instructor, mentor or assessor, every figure covers only the cohorts they are currently on the staff of, and learners studying at their own pace are left out. Keep Programme set to All: programme-wide figures are for owners and administrators, and choosing a programme, or a cohort that is not yours, is refused with a message such as "The learning figures could not be read. Reload to try again."
When a figure reads "—"
A dash means there was nothing to measure: no attendance marked in the window, no decision made, no case closed. A rate with nothing to count reads "—" with the note "nothing to count yet". It is not a zero. When the figures themselves are incomplete, a notice at the top of the page says so; see How current the figures are.
Finance and usage figures ↗Finance and usage figures
Finance shows the money collected in the window, your earnings after fees and refunds, refunds and disputes, and what has been settled to you, per currency. Usage shows AI requests and credits, stored files, video and notifications.
The Finance and Usage areas of Analytics show what the academy took in and what it used. Owners and administrators read both for the whole academy, or for the programme and cohort chosen in the filters. Finance administrators read both for the whole academy: the Programme and Cohort filters offer them only All.
These are totals for spotting trends. Individual payments, refunds and payouts are on the Payments & earnings page, and usage against your plan's limits is under Billing; both are covered in their own guides.
The Finance tiles
Finance gives one block of figures for each currency the academy was paid in, usually naira (₦).
- Collected — the total learners paid in the window, with how many payments succeeded.
- Your earnings — what the academy keeps from that money, after the payment provider's fees, Alethris's platform fee and any refunds, all stated under the figure: "after ₦12,600 provider and ₦18,000 platform fees, and ₦150,000 refunded". Payments & earnings shows the same figure for every payment ever made. An Alethris fee credited back counts in the window it was credited: the platform fee falls and your earnings rise by it.
- Refunded — refunds made in the window, and bank transfers reversed in it, with how many refunds and disputes there were. A reversed transfer stays in Collected and comes off Your earnings, as on Payments & earnings.
- Settled to you — money the payment provider paid out to the academy in the window, with what is still with the provider now: "₦240,000 still with the provider". That amount is Waiting on Paystack on Payments & earnings, and follows it within a few minutes.
The revenue chart
Revenue, named with the currency, such as "Revenue · NGN", stacks three things per day: Your earnings, Fees and Refunded. The full height of a day's bar is what learners paid that day.
When nothing was paid, refunded or settled in the window, the area reads "No money moved in this window".
The Usage tiles
- AI — requests made to the academy's assistants in the window, and the AI credits they used.
- Files — the space the academy's files take up now.
- Video — hours of video ready in the library now, and hours delivered to viewers in the window.
- Notifications — notifications delivered in the window, and how many failed.
Two charts follow: AI requests and AI credits spent, per day. A tile, Collected for you, appears when learners paid through Paystack in the window, with the total collected.
Reading them together
- Your earnings well below Collected. Fees take a share of every payment, and a refund takes back the whole payment while its fees stay spent. The share Alethris takes depends on your plan; the Plans, billing and usage guide lists each plan's fee.
- Money still with the provider. Payments reach your settlement account some time after they are made, so the most recent ones are still with the provider.
- Days shifted after a timezone change. Each payment is counted once, on its day in the academy's timezone; a few minutes after the timezone changes, the days follow the new one.
- AI credits rising faster than requests. Requests are getting longer, or tasks have moved to a higher quality tier. Assistant usage, under Academy settings, then AI assistant, shows which tasks spend most.
- Failed notifications. Some messages did not reach the people they were sent to.
Who sees these areas
Finance administrators read Finance and Usage for the whole academy, alongside owners and administrators. Instructors, mentors and assessors do not see either area.
A finance administrator finds Analytics in the menu, under Business, and it opens on Finance.
When the figures do not load
- "The finance figures could not be read. Reload to try again." Reload the page.
- The figures stop a day or two short. The line under the title says which day the figures run through, and a notice says when a recent day is understated. See How current the figures are.
Module 3 of 3 · 1 lesson
Reading the figures well
How far the figures reach, and the window and filters that decide what they cover.
How current the figures are
Analytics reads the last 7, 30 or 90 days, in the academy's own time zone, for the whole academy, one programme or one cohort. The line under the title says which day the figures run through, and a notice warns when recent days are understated or the figures are unavailable.
The figures on the Analytics page are counted from what happens at your academy, and they reach the page a little after it happens, not the instant it does. The page always says how far the figures run, and warns you when they are incomplete. Filters at the top decide what the figures cover: the window and, where your roles allow a choice, the programme and the cohort.
How far the figures run
The line under the page title gives the window and the day the figures run through, such as "4 September 2026 to 4 October 2026 · figures through 3 Oct". The day is the latest activity the tab counts, so a quiet week can leave it a few days back while every figure is current. When part of Alethris has not reported recently and the latest figures are more than six hours old, the line adds how far behind they are, such as "9 hr behind".
Two notices can appear above the figures:
- "At least one source has not reported through the end of the window, so the most recent day or two is understated until it does." Part of Alethris has not reported recently, so recent days are short. The figures fill in as the rest arrives; read the latest day or two with care. Today being under way does not raise this notice on its own.
- "The figures for this window have not been counted yet. Nothing below is an observed zero." Activity in the window has been recorded but not yet added up, usually for a few minutes after it happens. Any zero shown is not real; come back later. It appears under the tabs, for that tab alone.
Without a notice, the figures are complete up to the day the line names.
Choose the window
Window, at the top right, offers 7 days, 30 days and 90 days, ending today. The page opens on 30 days. Days run midnight to midnight in the academy's own time zone, the Timezone on the Profile page under Academy settings, wherever you read the page from. When the timezone changes, every figure is counted again in the new one, usually within a few minutes; until then the figures keep the old one.
Where a figure compares with the past, such as Applications and Completions on Overview, it compares with the window of the same length just before: the last 30 days against the 30 days before them.
Figures in the window, and figures now
Not every figure follows the window. Some count what happened inside it; others count what stands now, and stay the same whichever window you choose.
| Area | Counted in the window | Counted as it stands now |
|---|---|---|
| Overview | Applications, completions | Active learners, active enrolments, active cohorts, published programmes, high or critical risk |
| Admissions | Every figure | None |
| Learning | Attendance, review turnaround, the daily charts | Content progress, work waiting for review, completion rate |
| Risk | Time to resolve, cases opened and resolved | Open cases, active flags, overdue interventions, open for, the breakdowns |
| Finance | Collected, earnings, fees, refunds, settled | What is still with the provider, as Payments & earnings shows it |
| Usage | AI requests and credits, video delivered, notifications | Files stored, video ready |
One chart goes further back than any window: Still active, week by week, under Learning, follows up to ten recent cohorts from each one's first week.
Narrow the figures to a programme or a cohort
- Under Programme, choose one programme, or All. Choosing a programme sets Cohort back to All and lists only that programme's cohorts.
- Under Cohort, choose one cohort, or All. Active, scheduled and completed cohorts are listed.
The window and filters stay as you move between tabs, and every area you open reads them. Reloading the page returns them to 30 days and All. On Learning, a programme or cohort narrows every figure, from content progress to work reviewed and completions, to its own learners.
Some figures cannot be narrowed. Finance and Usage always cover the whole academy: with a programme or a cohort chosen, they say so and ask you to set Programme and Cohort to All. On Overview, Active learners counts the whole academy only, so with a programme or a cohort chosen it shows "—" and "Counted for the whole academy only"; Active enrolments gives the programme's or cohort's learners.
The filters offer only what your roles may read. Owners and administrators see both. Instructors, mentors and assessors see no Programme filter, and Cohort lists only the cohorts they are on the staff of; on Risk, only those they instruct or mentor. A finance administrator reads the whole academy and sees the window alone.
When the figures seem wrong
- A figure did not change with the window. It counts what stands now; see the table above.
- The latest day looks low. Check the line under the title and any notice: the figures may not run through today yet.
- Everything is zero after choosing a cohort. The cohort may not have started, or nothing has happened in it within the window. Widen the window or choose All.
- A tab shows zeros, or "No money moved in this window", with no notice. Nothing of that kind happened in the window. Those zeros are counted, not missing.
